Your Streaming Room Team

Sarah Takeda leads live tech in the room and Julia leads the online streaming side for HDHD 2026. On your session day, Sarah, Julia, or a tech room volunteer will be the person supporting you. You may be greeted by a volunteer rather than Sarah or Julia directly. They are prepared and they have you.

How the Streaming Room Works

The streaming room (The Board Room) runs a single Zoom meeting that stays open all day. Brandy opens it in the morning. It does not close between sessions. If it crashes, the tech volunteer has login credentials to restart it.

You will present from your own laptop. Bring it with you. There is a screen and HDMI connection in the room so your Zoom screen share displays for both the in-person and online audiences.

You manage your own presentation. The tech volunteer is not running your slides. They are there to welcome the online room, start and stop recording, manage time, and handle breakout rooms if needed.

Laura Michelle Wolff will be presenting remotely via Zoom on Sunday morning. A room guardian will be present to ensure AV is working.

The Edge You Are Walking

You are being asked to hold two rooms at once. The in-person room and the streaming room. The conditioned impulse will be to perform for the camera or forget it is there. Neither one serves.

The practice is to let both rooms exist inside your awareness without splitting your attention between them. The body knows how to do this. The head will try to manage it. Notice which one you are working from.

Some of you will discover something about your teaching in this room that surprises you. The streaming room has a way of stripping away the ambient social feedback of an in-person space and leaving you with just your voice, your material, and the question of whether you trust what you are holding. That is not a lesser experience. It is a more honest one.

Let it be an experiment. Let it teach you something about the facilitator you are becoming.

Day-of Timeline

1 Arrive on time for your session. The room will already be set up. The Zoom meeting is already running.

2 Connect your laptop. Plug into the HDMI at the presenter table. Join the Zoom room from your laptop using the link provided (posted at the table). Your screen share will display on the room's TV for in-person attendees and be visible to online participants.

3 Meet your tech volunteer. They will ask if you need breakout rooms and confirm your time warning preferences. If you filled out the streaming form, they already have your answers.

4 The volunteer starts recording and YouTube live stream. You do not need to do this. They press record and go live at the start and stop both at the end.

5 Present. You manage your own slides and screen sharing. The volunteer watches the chat for questions and keeps time.

6 If your session runs long: The volunteer will move online participants to a breakout room so they can continue the conversation while the next session sets up. You can continue with them there or wrap up naturally.

7 Session ends. The volunteer stops recording and the YouTube stream. You unplug and the next facilitator sets up.

Presentation Logistics

Slides: If you have not already submitted your slides via the streaming room Google Form, please do so. Even if you plan to run your own presentation, having a copy allows the team to troubleshoot if your laptop has issues.

Screen sharing: You share your screen through Zoom from your own laptop. The volunteer does not run your presentation.

Questions from online participants: The volunteer monitors the Zoom chat. If you want questions read aloud, let the volunteer know at the start. If you prefer to take questions at the end, they will collect them.

Microphone: A microphone will be available in the room. Online participants hear through your laptop mic or the room mic, depending on setup. The volunteer will confirm audio levels before you begin.

Internet: The hotel has wifi. If your slides are in Canva or another online tool, you will need to be connected. Have an offline backup if possible.

This is the same link for all sessions, all four days.
The room stays open. Do not end the meeting.
If the Zoom crashes: The tech volunteer has the login credentials. They will restart the room. You do not need to do anything except wait for them to get it back up.

Breakout Room

A standing breakout room will be created at the start of each day and left open. If your session runs over, the volunteer moves online participants there so the next session can start on time. They can continue the conversation in the breakout room until they choose to leave. You do not need to manage this.

Recordings

Sessions are recorded in two ways: Zoom cloud recording (start/stop per session) and YouTube live stream as backup. Recordings will be made available after the event through the Spiral of Everything app.

If you intend to record your own session separately, that is fine. Please let the tech volunteer know so they can coordinate.

If Nobody Is Online

Present as normal. The recording is still happening. The session will live in the app afterward. Your in-person room is your primary audience. The camera is simply catching what is already alive.

Your Checklist

  • Fill out the streaming room Google Form (if you have not already)
  • Bring your own laptop
  • Have your presentation ready (offline backup recommended)
  • Arrive on time for your session
  • Plug into the HDMI at the presenter table
  • Join the Zoom room from your laptop
  • Meet your tech volunteer and confirm time warning preferences
  • Present
  • Unplug when done
